Certland runs service points in 42 towns across Poland: staffed offices and mobile advisors who travel to an address of your choice. The visit takes about 20 minutes, all you need is an ID card, passport or residence card, and you receive the certificate the same day. Identity verification can also be completed entirely online.

Every point handles the full range of qualified trust services. The procedure and required documents are the same whatever brings you in.

Qualified electronic signature

Tied to an individual person. It carries the same legal effect as a handwritten signature throughout the European Union. Used for contracts, tax filings, financial statements, social insurance and company register submissions, and public procurement bids.

Tied to a company or institution rather than a person. It confirms that a document originates from that entity and has not been altered. Ideal for issuing e-invoices, accounting documents, certificates and system-generated output at scale, where signing by a named employee would be impractical.

A service in its own right, not just a step towards a certificate. Our operators confirm identity for Certum and for any process that requires a formal document check. We can do it at a service point, at your premises, or remotely by video verification - including for people without a Polish PESEL number.

How a visit works

Four steps, about 20 minutes

The order matters - the certificate is only issued once identity has been confirmed, so a visit always follows the same sequence.

Prepare your documents

Bring a valid original identity document: an ID card, passport or residence card. For a company seal, also bring the entity registration details.

The operator checks the document against the person and records a protocol. This step is what makes the certificate qualified.

Where can I collect a qualified signature or electronic seal?

Certland runs 78 service points in 42 towns across Poland. 22 of them are staffed offices with fixed opening hours, and 56 are mobile advisors who travel to an address of your choice. Every point handles qualified signatures, qualified electronic seals and identity verification. Points operate in Krakow, Warsaw, Katowice, Gdansk, Poznan and Lublin, among others. What documents do I need for a qualified signature?

One valid identity document presented in the original is enough: an ID card, a passport or a residence card. It must be valid on the day of the visit. You also provide an email address for the certificate. For a company electronic seal you additionally need the entity registration details (tax and company register numbers) and a document proving authority to represent it.

Can a foreign national obtain a qualified signature using a residence card?

Yes. A residence card is accepted on equal terms with an ID card and a passport. You can also complete the whole process online without visiting a point - this applies to people without a PESEL number too. Details are on the identity verification page.

What is the difference between a staffed office and a mobile advisor?

A staffed office keeps fixed hours and you visit it in person. A mobile advisor travels to an address of your choice at an agreed time, for example to your company premises. The verification and issuance procedure is identical in both cases and equally eIDAS-compliant.

How does a qualified electronic seal differ from a qualified signature?

A qualified signature belongs to an individual and replaces their handwritten signature. A qualified seal belongs to an entity - a company, public body or foundation - and confirms that a document comes from that entity and has not been altered. A seal does not replace a signature where the law requires a declaration of will by a named person, but it works very well for issuing e-invoices, accounting documents, certificates and automatically generated output at scale.

Who needs a qualified electronic seal?

Most often companies and institutions that issue documents in volume: accounting firms, finance departments, operators of invoicing systems, public bodies sending certificates and decisions, and organisations rolling out e-Delivery. A seal removes the need for staff to sign each document individually, because the certificate belongs to the entity rather than to a role or a person.

What does identity verification and confirmation involve?

It is a formal check that a person is who they claim to be. The operator compares the presented document with the person, checks its validity and security features, and then records a protocol. For us this is both a step towards issuing a certificate and a standalone service performed for Certum and for any process requiring documented proof of identity. We carry it out at a staffed office, at the client through a mobile advisor, or remotely by video verification.

Is an in-person visit required?

No. Identity verification and confirmation can be completed entirely online without leaving home - the process runs remotely through video verification with an operator, and you receive the certificate electronically. If you prefer face-to-face contact you have two options: visit one of the staffed offices, or book a mobile advisor who will travel to an address of your choice. Online verification is also the answer for people without a PESEL number. Details are on the identity verification page.
